Policies and Procedures
Prior to Booking:
- We do not rent to vacationing students or singles under 25 years of age unless accompanied by an adult guardian or parent.
- All condos/homes are NON-SMOKING and NON-VAPING units and buildings. Smoking/Vaping is allowed in certain designated areas. If you are found smoking/vaping in or outside of the unit or in any non-designated area, you may be evicted from the facility according to applicable state and federal laws. In addition to possible removal from the building, if you smoke/vape in this unit OR on the balcony of this unit, you will be charged for the additional cleaning charge to remove the smell.
- No illegal drugs, firearms or activities are permitted within the unit.
- No loud music or noise is permitted.
- Parties, events and large gatherings are not allowed.
- Pets are not permitted in rental units under any conditions. Any pets found in or about the Rental Property, will be grounds for expedited eviction and forfeiture of all monies paid. You will be responsible for extra housekeeping charges if a pet has entered the unit. (The exception is service dogs, however, emotional support dogs are now allowed).
- UNIT DAMAGE – As part of your reservation fee and in lieu of a security deposit, you will have accidental insurance coverage during your stay. The insurance will NOT cover any damage that is considered or ruled intentional. You will also be responsible for accidental damage which exceeds $500 in repair/replacement value. If the damage exceeds $500 or is considered intentional, this will be charged to your credit card.
- Renter will also be responsible for charges incurred due to:
Any and all damage caused by smoking within the unit, contraband or pets.
All debris, rubbish and discards not placed in dumpster, and soiled dishes not placed in the dishwasher.
Clogged toilets due to flush-able wipes or feminine hygiene products, as well as a clogged garbage disposal due to beer caps, lemons, limes, etc.
Any additional housekeeping charges over and above the regular housekeeping fee (will occur if condo is left unusually dirty)
Lost or damaged linens.
Any contents which are removed from the unit. If anything is taken, large or small, you will be charged the replacement value (examples: blankets, kitchen items, small kitchen appliances, pillows/pillowcases etc).
Rental fees will not be refunded if the renter is evicted by the owner (or representative of the owner), the local law enforcement or the security company employed by the condo association.
Upon booking, your credit card will be charged a 25% down payment and the remaining balance will be charged to your credit card 30 days prior to your arrival. If your reservation is within 30 days of arrival, 100% of the fee will be charged.
During Your Stay
Check-in Time: 4:00 p.m. CST
Check-out Time: 10:00 p.m. CST
Arrival instructions will be emailed to you 14 days prior to arrival and re-sent the day before your arrival. Please ensure that you have this information before you leave home!
Part of your arrival instructions will include the electronic door code. We don’t use keys. Please save this door code in your phone, write it down and put it in your wallet or anywhere else! ***This code will begin working at check-in time and will stop working at check-out time. Please note that if there is a * or a # symbol as part of the code, you must enter where indicated as it is part of the code.
NO DAILY MAID SERVICE - While linens and bath towels are included in the unit, daily maid service is not included. A washer and dryer are provided in each unit so that you can wash towels and linens as needed. We do not permit towels or linens to be taken from the unit, so please bring your own beach towels.
Check-out Procedures
Please take all trash out to the trash chute/bin and start the dishwasher if you have dirty dishes in them. Please put all towels in one of the tubs, the sheets do not need to be removed. You can leave them on the un-made beds. Also, if you have moved furniture or an accessory, or have taken something out of a cabinet, please return it to where it was when you arrived. Please do not remove any of the blankets from the unit. You will be charged to replace any missing blankets.
If you have unplugged any of the Television cable boxes or wired connections, you MUST plug them back in and confirm the cable connections are operational. If not, we will have to send in maintenance and you will be charged a $50 re-connection fee.
If you are checking out early, please text the housekeeper to let them know you have departed. The number is on your check-in instructions under important phone numbers.
Also, please remember to gather up your belongings as you are packing to leave. Unfortunately, we cannot be responsible for items left behind.
Safety & Liability
ASSUMPTION OF RISKS: There are inherent risks involved in the use of any and all amenities located on the property including the beach and water areas. These risks include, but are not limited to bodily injury, sickness, disease or death. I understand that at no time will there be a lifeguard on duty and adult renters are responsible to monitor children and minors. I understand that I and my guests use these amenities at our own risk and agree to assume all risks associated therewith.
HOLD HARMLESS AGREEMENT: No property owner, nor the property management company will be held responsible or liable for any accidents, injuries, illness or loss of personal belongings occurring on or off the premises related to the dates of the stay, by me, the rental guest, and/or by others invited by me or my party. I, the responsible party, accept full responsibility of the rental property during my stay and I understand I will be held liable and subject to legal action for damages to the rental property while occupied by me and my guests, which I agree to pay upon invoice. Guest agrees to pay all reasonable costs, attorney's fees and expenses that shall be made or incurred by Ocean South Properties, the Owner or the onsite Home Owner's Association in enforcing this agreement. I agree to all of the terms and conditions of this document as a contractual agreement between myself, the responsible party and rental guest, and the owner of the property.
Miscellaneous
CANCELLATION POLICY - Bookings cancelled at least 14 days prior to check-in will receive 100% refund. Bookings cancelled at least 7 days prior to check-in will receive 50% refund. Early departure does not warrant a refund of rent. Property Manager may cancel this reservation at any time for just cause, which includes property change of ownership.
MONTHLY RESERVATION CANCELLATIONS - Monthly renters must cancel sixty (60) days prior to check-in to receive all money that has been put down on the reservation. If you cancel after the 60 days, we will refund you only if we are able to re-book those exact dates. Monthly renters who make a change that results in a shortened stay must be made at least forty five (45) days prior to check-in. Early departure does not warrant a refund of rent.
HURRICANE OR TROPICAL STORM POLICY - No refunds will be given unless:
- The National Weather Service orders a mandatory evacuation in a "Tropical Storm/Hurricane Warning area" and/or
- A "mandatory evacuation order has been given for the Tropical Storm/Hurricane Warning" area of residence of a vacationing guest. The day that the National Weather Service orders a mandatory evacuation order in a "Tropical Storm/Hurricane Warning," area, we will refund:
- Any unused portion of rent from a guest currently registered,
- Any unused portion of rent from a guest that is scheduled to arrive, and wants to shorten their stay, to come in after the Hurricane Warning is lifted; and
- Any advance rents collected or deposited for a reservation that is scheduled to arrive during the "Hurricane Warning" period.
NSF Checks - All checks that are returned for Non-Sufficient Funds will be charged a $25 processing fee.
FALSIFIED RESERVATIONS - Any reservation obtained under false pretense will be subject to forfeiture of advance payment, deposit and/or rental money, and the party will not be permitted to check-in.
